A relieving letter is a document issued by the Human Resources Department of the organization to the employee who has opted to resign and has duly completed the formalities and pending work and tasks assigned to him/her before leaving the company. The relieving is a declaration by the employer of having accepted the employee’s resignation letter and relieving him/her from their respective duties. The format is very simple and to the point, as is provided in the following section. As a relieving letter is a piece of business writing, the format does not offer much scope for experimentation, and should be drafted in a proper manner.
The format has a heading like many other letters, i.e. ‘To Whomsoever It May Concern.’ It is written on the company letterhead and signed by the authority who is in charge of the same. A relieving letter mentions the period that the employee has worked with the organization, and the date and time of relieving the employee from the responsibilities and duties assigned to him/her during the tenure of the employment.
The format of a relieving letter, though very short and simple, should give credit to the employee’s contribution to the company during his/her work tenure in a line or two. It also mentions the date of joining and date of resignation of the employee. In the concluding paragraph, the organization expresses its gratitude and best wishes for the employee’s future endeavors.
