For a company, writing an experience certificate for some employees is necessary, as they may require it for their future endeavors. It is a formal letter that is short but explicit, in that, it covers all the necessary details that will back up the candidate’s resume.
An experience certificate for an outgoing employee, not only proves that the employee is no longer a part of the organization, but it also shows the value and position the employee had while on the job. Prospective employers always look for evidence supporting the resume and personal interview, so as to establish the credibility of a potential employee. With an experience certificate, the potential employer can verify how long an individual worked at a particular organization, and can understand the kind of skills and conduct he/she displayed while working there. As such, it can also serve as a character certificate.
Here are some useful tips about how to go about writing one, followed by a sample letter for your reference.
- The letter should be typed out on the company letterhead.
- It should ideally be written by the immediate supervisor/manager of the employee, i.e., someone who has been in close supervising contact with the employee.
- It should be addressed To Whomsoever it May Concern, as you may not be aware of who will be reading the letter.
- The letter should include important details, such as full name of the employee, the date of joining to the date of resignation, the position of the employee within the organization, an overview of the job description, his/her quality of work, and general conduct (communication, attitude, and other soft skills) on the job.
- The letter should not be too long, but should suitably convey all the necessary details a prospective employer would like to know about the candidate.
- Do not include any negative comments in this document. If you have nothing exceptional to mention, keep the letter simple by including the job description of the employee, and one or two lines on his/her conduct within the organization.

This letter can be modified based on the person you are writing it for. Some experience certificates simply state the duration for which an employee worked, and the relevant positions occupied with the duration.
